A Hillcrest event that needed clear wayfinding
The client was an events team based in Hillcrest organising a public-facing programme with high foot traffic, short registration windows and changing weather across the day. They needed signage that could guide guests quickly, present sponsors properly and still hold up in outdoor conditions without looking tired by the end of the week.
The brief was straightforward on paper but tight in practice. The venue had mixed indoor and outdoor areas, limited time for installation before opening, and a strong need for consistent branding across multiple touchpoints. We were asked to keep everything easy to read from a distance, colour accurate and simple to move in and out as schedules changed.
- Registration signage for arrivals and check-in queues
- Sponsor backdrops for stage and photo use
- Outdoor flags for visibility at access points and open spaces
What we had to work around
Hillcrest can be fine in the morning and windy by mid afternoon, so the main concern was keeping lightweight items stable without making the set-up bulky. The client also wanted the branding to look sharp in photos, which meant paying attention to print finish, colour consistency and glare under bright light. We planned for load-shedding on the production side too, so the print and finishing schedule was arranged to avoid delays if power cuts landed during the week.
Access at the venue was another factor. Deliveries had to fit around other suppliers, and installation times were limited to early morning and late afternoon slots. That meant we needed a clean sequence for each item, with labels and pack-down notes so the team on site could work fast and leave the area tidy before the next session started.
- Outdoor exposure with wind and changing light
- Short installation windows around venue operations
- Neat removal at the end of the programme with no residue on surfaces
Materials and print build we supplied
For the registration point we supplied printed foam board panels mounted for straight sight lines and easy queue direction. The sponsor backdrop was produced as a full-colour digital print on laminated material for better scuff resistance, with panel sizing set to match the stage area and camera framing. For the outdoor flags, we used printed flag fabric on flexible poles with weighted bases so they stayed upright in typical KZN wind conditions.
We also prepared small directional labels and supporting graphics where needed, using vinyl cutting for crisp lettering and simple arrows. The overall look stayed consistent across all items, which helped the event feel organised even when guests were moving between spaces quickly.
- Large format digital print for sponsor panels and directional boards
- Print lamination for handling and weather resistance
- Vinyl cut text for arrows, labels and clean type detail
- Lightweight flag graphics with weighted bases for outdoor placement
Install, timing and site support
The full job ran over 3 weeks from artwork setup through to pack-down. Week one covered layout approval and artwork checks. Week two was print, lamination and fabrication. Week three covered delivery, installation, daily adjustments and end-of-event removal. The timeline was tight but manageable because the client approved content early and gave us clear venue measurements before production started.
On site, our installations lead coordinated the placement of each item so the registration area stayed uncluttered and sponsor branding remained visible from the main audience routes. The team handled positioning, fixing and final alignment, then returned after the event to remove the temporary pieces cleanly. We also kept a small allowance for last minute wording changes, which came in handy when one session moved venue rooms at short notice.
- Artwork setup and proofing before print
- Measuring and placement checks on site
- Clean installation and pack-down after the event
What changed for the client on the day
The biggest result was speed. Guests could find registration without asking staff for directions, which reduced congestion at the entrance and made the opening hour feel calmer. The sponsor backdrop gave the organisers a neat photo point for media and speakers, while the flags helped people identify the event from the parking and arrival points. The branding felt joined up rather than pieced together.
The client also appreciated that the materials were practical. The panels stayed readable in changing light and the flags held their shape through the day. That meant less time spent adjusting things and more time focused on the programme itself. For a Hillcrest event with lots happening at once, that matters more than people sometimes expect.
- Clearer guest flow at registration
- Better sponsor visibility in photographs and video
- Less on-site admin because the signage did its job
What we would repeat for the next Hillcrest event
If we were doing this again, we would keep the same structure: early measurements, a firm artwork approval point and a staged install plan. For temporary event branding, that approach gives the client room to make changes without putting pressure on the final print run. We would also keep the option of additional small wayfinding pieces, especially where parking, entrance and registration are split across different parts of the venue.
For events in Hillcrest and the wider Durban area, we find that temporary signage works best when it is simple, durable and easy to install in a tight window. That applies whether the venue is dealing with summer heat, afternoon rain or a power cut during prep. The right mix of print, vinyl and lightweight support makes the difference between signage that just fills a space and signage that helps the event run properly.
- Keep approvals early so print and installation stay on schedule
- Use materials that handle wind, handling and repeated movement
- Leave room for a few extra directional pieces if the venue is spread out
